How we handle your personal information, written in plain English. We keep what we hold to the minimum needed to clean your home and take payment.

Who we are

Dorset Clean ("we", "us") is a domestic cleaning business based in Weymouth, Dorset, serving Weymouth, Dorchester and the surrounding villages. We are the data controller for the personal information described in this policy.

This policy is written to meet the UK GDPR and the Data Protection Act 2018. If you are in the EU, the EU GDPR gives you equivalent rights and we apply the same standards.

What we collect

  • Contact details: your name, phone number, email address and the address of the property to be cleaned.
  • Booking details: the date, time and length of your visit, how often you want us, and the task list you set for your cleaner.
  • Access and safety information you choose to give us: key or keysafe arrangements, alarm instructions, parking notes, pets in the house.
  • Payment records: the amount, date and status of each payment. We never see or hold your full card number — that stays with our payment provider.
  • Website usage: basic technical information such as your IP address, browser and pages viewed, handled by our hosting and any cookies described in our cookie policy.

Where your information is held

Bookings and payments are taken through Square (Squareup Europe Ltd / Block, Inc.), using Square Appointments and Square's payment processing. When you book or pay, your details are entered into and stored in Square's systems, and we access them through our Square account.

We do not run a customer database of our own on this website. This site is an information and enquiry site; it does not store your booking or card details.

We keep a small amount of practical information outside Square where we have to — for example your address, access arrangements and task list, so the right cleaner can turn up and do the right job. That is kept securely and shared only with the cleaner attending your home.

Square publishes its own privacy notice covering how it processes your data, including any transfers outside the UK and EU, which it makes under approved safeguards such as standard contractual clauses.

Why we use it, and our lawful basis

  • To arrange and carry out your clean, and to take payment — performance of a contract with you.
  • To contact you about a booking, a change of time, or a problem — performance of a contract with you.
  • To keep records for tax, accounting and insurance — legal obligation.
  • To keep our staff and your home safe, and to deal with complaints or claims — our legitimate interests in running the business properly.
  • To send you marketing, if you have asked for it — your consent, which you can withdraw at any time.

Who we share it with

We do not sell your personal information, and we do not share it for anyone else's marketing.

  • The cleaner attending your home, who receives only what they need: address, access instructions, time and task list.
  • Square, as our bookings and payments provider.
  • Our accountant and insurers, where relevant to a payment, claim or legal duty.
  • Our website host, which processes technical logs on our behalf.
  • The police, HMRC or another authority where we are legally required to.

How long we keep it

Enquiries that do not turn into a booking are deleted within 12 months.

Customer and booking records are kept for the length of the arrangement and then for 6 years, which is the period we need for tax records and for any claim to be brought.

Access details such as keysafe codes and alarm instructions are deleted as soon as you stop using us, and keys are returned.

Keeping it safe

  • Every cleaner is DBS-checked and ID-verified before they attend a job.
  • Staff are given access only to the customers they are cleaning for.
  • Keys are labelled by code, never by name or address, and are signed out and back in on the day.
  • Accounts used to run the business are protected by strong passwords and two-factor authentication where the provider supports it.
  • This website is served over HTTPS.

Your rights

Under UK and EU data protection law you can ask us to: give you a copy of the information we hold about you; correct anything that is wrong; delete it where we no longer need it; restrict or object to how we use it; or send it to another provider in a portable format. Where we rely on consent, you can withdraw it at any time.

To use any of these rights, contact us on 07821 743753. We will respond within one month.

If you are unhappy with how we have handled your information, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113. If you are in the EU, you can complain to your local supervisory authority.

Children

Our service is sold to adults. We do not knowingly collect information about children, beyond what a parent chooses to tell us — for example that there are children in the house or which rooms are theirs.

Changes to this policy

If we change how we handle your information — for example if we add a new system alongside Square — we will update this page and change the date at the top.
